Episode 11: Event Planning That Works

by

For nonprofits and condos, managing events is more than just circling dates on a calendar. From board meetings and AGMs to filing deadlines and committee calls, well-organized scheduling is essential to keeping everyone informed.

In this episode, we explore how BoardSpace helps board-led organizations take control of their calendar using a built-in board event management tool. Say goodbye to scattered emails and missed meetings—this is event planning software for boards that actually works.

Keep track of important events

The Events feature in BoardSpace lets you schedule and track any important date—not just meetings. From AGMs to social events, contract deadlines, and committee dates, if it has a date, it belongs in BoardSpace.

Events appear right on your home page so nothing gets lost in inboxes or forgotten in hallway conversations.

How events work

  • Create a new event from the events page

  • Add a date, time, description, and title

  • Add a recurrence if the event takes place, for example, every month.
  • Decide who needs to be part of the event

  • Link a document (e.g. budget draft or AGM notice) or action item (e.g. “Book the venue”)

  • Add notifications and decide how many and on what time interval. For example, notifications can be sent 1 week, 1 day or 10 minutes before the event happens. Add as many or as few as necessary

Before and After: Event Coordination

Before BoardSpace:

  • Important dates were scattered across Google calendars, email threads, and printouts

  • People missed deadlines because “no one told them”

  • Events were added last minute—or not at all

After BoardSpace:

  • All events live in one shared place, organized by board or committee

  • Notifications are sent to the right people, at the right time (automatically)

  • Events are visible on the dashboard—no more surprise

Stories from the Board Table

1. Sonia, the Staff Organizer

Sonia supports the board, but she also manages internal staff meetings and reporting deadlines. With BoardSpace, she creates events for each group—and controls who sees what.

2. Ray, the “Was That Today?” Director

Ray often forgot meetings until someone texted or phoned him after the meeting started. Now, he gets a reminder email 10 minutes before the meeting starts so he can hop on the Zoom call and be on time.

3. Nadine, the AGM Planner

Planning an AGM involves a dozen small deadlines. Nadine uses BoardSpace events to schedule document distribution, proxy deadlines, venue booking, and more—all in one place.

How Planning Events Benefits Users and Organizations

  • Never miss a date—everything shows up in the calendar and overview

  • Reduce missed communications—no more “I didn’t get the email”

  • Simplify scheduling—create events for deadlines, training, social events, or board milestones

  • Improve transparency—everyone knows what’s coming, and when

Creative Uses

  • Create recurring reminders for bylaw reviews or policy updates

  • Schedule onboarding sessions for new directors

  • Use events to track grant reporting or compliance deadlines

  • Add events for committee meetings that aren’t full board sessions

Pro Tip:
Link documents or action items directly to events to keep everything in one place—no extra searching required.

Wrapping Up

Events aren’t just about dates—they’re about momentum. When your board sees what’s coming, it plans better, shows up prepared, and hits fewer roadblocks.

BoardSpace makes that possible—no sticky notes, no search parties, no last-minute panics.

Meme Moments

“If it’s not on the calendar, it doesn’t exist.”
(BoardSpace: Because guessing isn’t governance.)

“Another email reminder? Or just one dashboard?”
(BoardSpace: Your events. Your timeline. One place.)

“When is that again?”
(BoardSpace: The end of accidental forgetfulness.)
