Ep. 13: Managing Meeting Flows – Draft Away
Board meetings don’t just happen—they’re built.
In our upcoming Version 4.0: Howard launch, BoardSpace is changing board meeting management by allowing agendas and minutes to be created as drafts, shared when ready, and managed in one place. Boards can assign multiple recording secretaries, organize attachments within the agenda, and separate approved meetings from upcoming ones. This streamlined workflow helps boards prepare faster, reduce confusion, and run more effective meetings.
And when the process is rushed or unclear, meetings become inefficient.
In Episode 13, we introduce a new and improved board meeting workflow in BoardSpace. This update gives boards more control over agendas, minutes, and meeting preparation—without adding complexity.
If you’re looking for a better way to manage board meetings, this is it.
What is it?
The updated meeting flow in BoardSpace is designed to improve how boards prepare, run, and review meetings.
Agendas and minutes can now be created as drafts, so you can refine them before sharing. You decide when they’re ready.
Boards can also assign multiple recording secretaries. This makes minute-taking more accurate and removes pressure from a single person.
Documents are handled more efficiently as well. Attachments are embedded or linked directly within the agenda and managed in one place. Once minutes are approved, meetings move into a separate view—making it easier to focus on upcoming board meetings.
How it works
The new workflow improves every stage of board meeting management.
You still have the familiar drag-and-drop agenda builder, now with more flexibility. You can easily move agenda items, assign presenters, and add time estimates to keep meetings on track. Templates can be saved and reused for different types of meetings.
Meetings begin as drafts. You can build the agenda, add documents, and refine details without sharing incomplete versions. When ready, you publish the agenda for directors.
Minutes are created alongside the agenda or during the meeting. Multiple recording secretaries can contribute, improving accuracy and efficiency.
After approval, meetings move into a dedicated “Approved” view. Upcoming meetings stay separate, helping directors focus on what matters next.
Before and After: Meeting Flow
Before BoardSpace:
-
- Agendas were shared before they were fully ready
- One person carried the full burden of recording minutes
- Attachments were in several different areas
- Directors had access to agendas and minutes in progress.
After BoardSpace:
- Agendas and minutes stay in draft until you’re ready to share
- Multiple recording secretaries can contribute
- All attachments are managed in one place during agenda creation
- Approved meetings are separated into a clean, focused view
Stories from the Board Table
1. Melissa, the Careful Planner
Melissa likes to finalize her agenda before sharing it. Now she builds it as a draft, reviews it, and shares it only when ready. No more “ignore the previous version” emails.
2. Greg and Anita, the Co-Secretaries
Greg used to handle minutes alone. Now he and Anita share the role. Both contribute during meetings, resulting in more accurate and complete minutes.
3. Daniel, the Focused Director
Daniel logs in and sees only upcoming meetings. Approved meetings are still accessible but no longer clutter his view. Preparation is faster and more focused.
Benefits for Boards and Organizations
This updated meeting workflow improves both efficiency and clarity.
Boards gain control over when agendas and minutes are shared. Collaboration improves with multiple recording secretaries. Document management becomes simpler, and directors benefit from a cleaner interface.
Templates, presenters, and time estimates also make it easier to prepare for meetings quickly and consistently.
Connected Features
The new meeting flow connects key BoardSpace features into a single system.
Documents are added directly within the agenda builder. Minutes are created alongside the agenda. Actions and motions flow naturally from the meeting. Templates support repeatable processes, and permissions ensure drafts are controlled.
Everything works together to support better board governance.
Wrapping Up
Better board meetings start with better preparation.
With draft agendas, shared minutes, and a cleaner workflow, BoardSpace helps boards run more effective meetings. The result is less confusion, better collaboration, and stronger decisions.
Meme Moments
“Please ignore the previous version.”
BoardSpace: Or… just don’t send it yet.
“Can someone else take minutes this time?”
BoardSpace: Already handled.
“Wait, is this meeting from last month or next week?”
BoardSpace: Clear views. Clear minds.
